How to Add Users/Members to your Approval Groups

  1. First, you need to go to settings, which you will find in the top right corner.

  2. Inside settings, you need to select "Groups and settings" under approval flow.


  3. Click on the group you want to modify. If you haven't created a group yet, please read the article "Creating Approval Groups." Once you have a group, you can click on it to add users or change permissions.

  4. After selecting a group, click on the "Users" tab, located in the middle on the right side.

  5. Here, you can see the users created in your system. If you want to create new users, there is a guide in the article "Creating New Users." If you select more than one user in the group, only one of the selected users needs to approve the document in the approval workflow. In the example below either "Anders Test" og "Lukas Christtenen" have to approve the document.

  6. If you want multiple users in the group to approve documents before they are forwarded in the approval workflow, you should check the box next to "Multiple Approvers." In the example in the picture below, both "Anders Test" and "Lukas Christtenen" have to approve the document before it can continue in the approval flow. If you don't check the box next to "Multiple Approvers," only one of the selected users, in this example "Anders Test" or "Lukas Christtenen", have to approve the document for it to proceed in the approval flow.

  7. If you have users with the roles of "External Bookkeeper" or "External Consultant," they will be able to see documents assigned to them through normal approval groups. Additionally, they will also have access to view all documents belonging to groups where the checkbox on the picture below is marked. This gives them broader access to documents not directly assigned to them but still relevant to their role as an external bookkeeper or external consultant.
